Client Success: Seamless Management Solutions

Seamless Management Solutions is a minority-women owned company that specializes in global project management, process improvement, business support services as well as providing Spanish/English technical language translation. The owners bring over 40 years of experience from previous careers, managing multi-million-dollar projects. Their careers were in various industries in the USA and globally.

Counseling sessions with Virginia APEX Accelerator Procurement Counselor, Lisa Powell, consisted of, but were not limited to, getting the firm registered in SAM, completing SBA’s WOSB application, and guided searches in SAM and eVA to find opportunities. During the sessions when searching in SAM and eVA, the PTAC counselor made a suggestion that the firm look for an opportunity falling within their scope of work, but which seemed too large for them. She suggested they add their information in the Interested Vendor’s List in SAM and in the B2B section in eVA. The purpose of this being that the awardee may have sub-contracting opportunities or is in search of a company to team with, and may reach out to them.

Part of a firm’s registration in the State of Virginia’s Procurement System (eVA) is the ability to receive notifications in their email. An opportunity for a Spanish Language Pesticide Applicators Examination/Translation Examination Development Services for the Virginia Department of Agriculture and Consumer Services showed in Seamless Management Solutions’ email (URFPNo 301-22-014). When the firm reviewed the scope of work, they realized it included services they could not provide (development of the training/testing curriculum) but they could provide the translation services. Seamless Management Solutions followed their PTAC counselor’s advice and entered their information into the B2B section of this opportunity, stating they would be willing to partner with another firm. They were contacted by Kim Taylor-Wilson, owner of Corrin & King Business Strategies, LLC (also a Virginia APEX Accelerator client). The two firms worked on the proposal together and submitted a response, ultimately winning the award. This is the first subcontract award for Seamless Management Solutions.

Seamless Management Solutions is also now SWaM and WOSB certified.

JR Landworks, LLC wins Department of Army Contract

Jerry Baigis, owner of JR Landworks, LLC out of Marshall, Virginia, performs integrated land and vegetation management to promote desirable, stable, low-growing plant communities that will resist invasion by tall growing tree species. JR Landworks has completed rights-of-way clearing work for water & sewer authorities, natural gas providers, commercial developers, wetland remediation contractors, large farm operators, and others.

In seeking to expand his government client portfolio, Jerry approached Virginia APEX Accelerator for assistance in obtaining his status with the Vets First Verification Program as a VA certified service-disabled veteran-owned small business (SDVOSB). Virginia APEX Accelerator counselor Daryl Corley worked closely with Jerry to ensure he was successful in receiving approval from the Center for Verification and Evaluation (CVE) and also counseled him on RFQs and other available resources to assist him in pursuit of submitting successful bids. Jerry knew he wanted to locate the most relevant bids for his company to compete and subsequently subscribed to the Virginia APEX Accelerator Bid Match Service. With the assistance of PTAC staff, he tailored his Bid Match profile to receive those solicitations most closely aligned to the work by adding keywords and checking his search parameters to add missing PSC categories when the results were too narrow in comparison to his eVA search results.

After successfully modifying his search profile, the client was able to bid on and win a contract with the Department of Army for Forestry Management Services at the Army’s Adelphi (Maryland) Laboratory Center (ALC) and Blossom Point Research Facility (BPRF) at Welcome, Maryland with the face value of $659,809. Eminent IT, LLC (Eminent) Experiences Rapid Growth with Multiple Federal Agencies with PTAC Services

Eminent IT, LLC (Eminent) is a small 8(a) certified service-disabled veteran-owned business located in Crystal City, Virginia. The company uses agile to help businesses and government agencies build software, migrate to the cloud and leverage Artificial Intelligence/Machine Learning to streamline business operations. Eminent has been a client of the Virginia APEX Accelerator at George Mason University since F.Y. 2010 and has obtained contracts with U.S. Navy, U.S. Marine Corps, U.S. Army, U.S. Air Force, the Executive Office of the President, the Department of State, and the Department of Treasury to date. The PTAC assisted Isaac Barnes, President of Eminent IT with understanding marketing and business development in the federal market as a start-up business. The company has grown significantly due to the provision of government contracting services offered by the Virginia APEX Accelerator at George Mason University.

Through Visionary’s consistent self-evaluation to achieve greater and learn constantly, they realized an obstacle or problem was improving its win rate. After speaking with the Virginia APEX Accelerator about its desire to improve its overall proposal response process, Visionary sent its Business Development Executive – Derek Hall – and also its Lead Proposal Writer – Paolo Bocao – to the PTAC sponsored course, “Responding to RFPs” taught by Robert Gahagan.

The course provided Visionary with a better understanding on how to improve its business processes in order to enhance their ability to respond to RFP’s (Request For Proposals).  The course also informed Visionary on the sources of where RFP’s are publicized, improved Visionary’s RFP analysis process, and made Visionary more knowledgeable about Government specifications and the federal market.

The lessons learned in the Virginia APEX Accelerator course improved Visionary’s RFP production process, and also the quality of their submitted proposals. This resulted in Visionary being awarded three (3) defense contracts within the Defense Health Agency (DHA) in 2014 that totaled to approximately $12M in revenue.

ICI LLC gets SDVOSB certification renewed

ICI LLC, an S-Corporation, based in Chantilly, Virginia, was established in June 2010 as Service Disabled Veteran Owned Small Business (SDVOSB), and received the Department of Veterans Affairs verification in July 2011.  ICI LLC provides technical and scientific management services and is committed to delivering a high quality service to clients consistent with ISO-9001, ISO-14000 and ISO-21500 standards. During spring of 2015, the company applied for re-verification for SDVOSB certification with the Veterans Administration, Center for Verification and Evaluation (CVE). Anticipating a smooth renewal because ICI had not undergone any changes in ownership or management since the original approval, the owners were surprised to learn that during SDVOSB re-verification, CVE determined there was not a clear determination who had control or authority to amend the company’s Operating Agreement. While working to amend the paperwork, ICI’s certification expired! This development put new contract awards at risk – and ICI and was now under a tight deadline to respond with the amendments.

After speaking with Virginia APEX Accelerator staff at the about the CVE concerns, Daniel Kirkpatrick, Service Disabled Veteran and Owner of ICI LLC attended a fortuitously-timed CVE Certification workshop taught by director Anna Urman to get a better understanding of the process. Daniel proposed a paragraph rewrite and requested assistance for a sanity check on wording and insertion. Virginia APEX Accelerator’s recommendation and vote of confidence was beneficial in a developing a revised operating agreement that met CVE’s requirements. One week after resubmission, ICI LLC received a re-verification letter with a renewed SDVOSB status. The time and assistance provided by the Virginia APEX Accelerator team at GMU was greatly appreciated as Daniel continues to pursue new contracts and can rest easy with a re-verified SDVOSB status that doesn’t expire again until June 2017.
